Accounts Receivable Administrator

SUMMARY: Maintains and updates files for payment, invoices, accounts receivable, and correspondence; locates files as requested by supervisor or others; processes, photocopies, and files documents and records as required for record keeping according to established procedures.

JOB TITLE: Accounts Receivable Administrator. Reports to Controller


• Process customer invoices on a daily basis and send customer copy via email or customer's preferred method
• Post Credit Card transactions and reconcile credit card statement
• Post Sweep Bank transactions as supplied by Controller
• Utilizes Network to maintain digital paid AR files
• Provides backup with regard to Incoming Phone Calls
• Alerts supervisor to any problems preventing completion of any task or responsibility
• Ad Hoc duties as assigned


• Posts customer payments by recording cash, checks, and credit card transactions
• Posts revenues by verifying and entering transactions form lock box and local deposits
• Updates receivables by totaling unpaid invoices
• Maintains records by scanning invoices
• Verifies validity of account discrepancies by obtaining and investigating information from sales, trade promotions, customer service departments, and from customers
• Resolves valid or authorized deductions by entering adjusting entries
• Resolves invalid or unauthorized deductions by following pending deductions procedures
• Resolves collections by examining customer payment plans, payment history, credit line, coordinating contact with collections department
• Summarizes receivables by maintaining invoice accounts; coordinating monthly transfer to accounts receivable account; verifying totals; preparing report
• Protects organization's value by keeping information confidential
• Accomplishes accounting and organization mission by completing related tasks as needed

• Working conditions are normal for a manufacturing and office environment
